Understand what happens to your data.

01

Information we handle

We handle account and contact details, business settings, uploaded text documents, organised knowledge, telephone numbers, conversation transcripts, confirmed requests and usage records. Security logs and payment status help us protect accounts and operate subscriptions. You enter payment card details with our payment provider; our application does not store full card numbers.

02

Why it is used

We use information to provide answers from business knowledge, keep conversation context, save requests for the business, send selected notifications, measure plan allowances, issue invoices and investigate faults or misuse. Do not put private customer-specific information in knowledge intended to answer public questions. Do not submit sensitive information unless it is necessary and you have an appropriate basis to do so.

03

Service providers and international processing

Cloudflare provides hosting, storage and email infrastructure; OpenAI processes relevant text and audio for AI functions; Twilio connects telephone calls; Stripe processes subscriptions and payments. Processing can occur outside your country, including the United States, Europe and Australia. We do not promise that all data remains in New Zealand or Australia. Providers may retain records under their own security, legal and service requirements.

04

Documents, conversations and retention

Original uploaded files are removed from active document storage after successful training; organised knowledge and training metadata remain. A failed or incomplete training operation retains its documents for review. Conversation transcripts and requests remain available to the business until removed through the applicable account or support process. We do not promise immediate erasure from backups or provider systems. Billing, dispute and security records may need to be retained after account closure where necessary or required by law.

05

Your choices and requests

Customers can edit their business knowledge and account settings, choose request email notifications and cancel subscriptions in the portal. Contact support@dialogiva.com for a copy, correction or deletion request, or to close an account. We verify authority and explain any records that cannot yet be removed. Visitors should normally contact the business they spoke with about its conversation records; we can help identify the appropriate contact.

06

Security, storage and complaints

Private portal content requires account access and is excluded from search indexing. Essential cookies and browser storage keep you signed in and preserve requested interface state. No security system is infallible. Report concerns or a privacy complaint to support@dialogiva.com with enough detail to investigate, without sending unnecessary personal information. If unresolved, you may contact the privacy regulator applicable to your situation, including the Australian OAIC or New Zealand Privacy Commissioner.

A few useful boundaries

We will update this notice as the service changes. It is not a certification that every customer use complies with every law; businesses must assess their own notices, consent requirements and permitted use.
